Adding Subscription Add-ons

Expand your shop's capabilities by adding extra artist seats beyond the included 3 artists.



Overview


Shop subscription add-ons allow you to expand your team beyond the base 3 artists included in all shop plans. Instead of being limited to 3 artists, you can add extra artist seats as needed. Each additional artist seat is billed monthly or yearly (matching your subscription cycle) in addition to your base subscription.



Step-by-Step Guide


Step 1: Access Subscription Settings

  1. Log in as a shop administrator
  2. Navigate to Dashboard > Shop > Settings
  3. Click the "Billing & Subscription" tab in the settings menu
  4. Scroll to the "Artist Seats" section


Note: Only shop administrators can view and manage subscription add-ons.


Step 2: Review Artist Seat Pricing


Extra Artist Seat Pricing:

  • Monthly billing: $25/month per additional artist
  • Yearly billing: $250/year per additional artist (save ~17%)


What's included:

  • All shop plans (Free and Studio Pro) include 3 artist seats
  • Each extra seat allows one additional artist to join your shop
  • Add-on pricing matches your billing cycle (monthly or yearly)


Each add-on shows:

  • Current artist count vs. included seats
  • Monthly or yearly cost per additional seat
  • "Add Seats" button


Step 3: Add Extra Artist Seats

  1. Review the current artist count and available seats
  2. Decide how many extra seats you need
  3. Verify the cost per seat ($25/month or $250/year)
  4. Click the "Add Seats" button


Confirmation dialog appears with:

  • Number of seats being added
  • Cost per seat
  • Prorated charge for current billing period (if mid-cycle)
  • New monthly/yearly total after add-on
  • Effective date


Step 4: Confirm Purchase

  1. Review the prorated charge calculation
  2. Verify your payment method on file
  3. Check the box to agree to updated billing terms
  4. Click "Confirm Purchase" button


What happens next:

  • Stripe processes the prorated charge immediately
  • Extra seats activate within minutes
  • Email confirmation sent to shop administrator
  • Updated seat count visible in team management


Prorated billing example:

  • Current plan: Studio Pro at $79/month (renews on 1st of month)
  • Today's date: 15th of month (halfway through cycle)
  • Extra seat cost: $25/month
  • Prorated charge today: $12.50 (half month)
  • Next bill (on 1st): $79 + $25 = $104 total


Step 5: Verify Seats are Active

After purchase, verify the extra seats are available:


  1. Check subscription panel: Extra seats appear in "Active Add-ons" list
  2. Check team management: New seat count reflected in artist capacity
  3. Invite artists: You can now invite additional artists to join
  4. Review billing: Updated monthly total shows on subscription page


Visual indicators:

  • ✅ Green "Active" badge on add-on
  • Updated "X of Y seats used" in team panel
  • "Invite Artist" button enabled



Managing Extra Artist Seats


Removing Extra Seats

When to remove:

  • Artist leaves the shop
  • Reducing costs
  • No longer need extra capacity


How to remove:

  1. Navigate to Dashboard > Shop > Settings > Billing & Subscription
  2. Find "Extra Artist Seats" in the add-ons section
  3. Click "Remove" button
  4. Confirm removal in dialog
  5. Seat remains active until end of current billing period
  6. Won't be charged on next renewal


Important notes:

  • You must first remove the artist from your shop before removing their seat
  • Removal takes effect at end of billing period (not immediate)
  • No prorated refunds for mid-cycle removals


Viewing Billing History

To review past add-on changes:

  1. Go to Dashboard > Shop > Settings > Billing & Subscription
  2. Scroll to "Billing History" section
  3. Look for line items labeled "Additional Artist"
  4. Click invoice to see detailed breakdown


Invoice shows:

  • Add-on name and description
  • Prorated charge (if mid-cycle)
  • Activation date
  • Billing period covered



Common Add-on Scenarios


Scenario 1: Adding Your 4th Artist


Situation: Your shop plan includes 3 artists, but you hired a 4th


Steps:

  1. Navigate to Billing & Subscription settings
  2. Find "Extra Artist Seats" section
  3. Click "Add" and review cost ($25/month)
  4. Confirm prorated charge
  5. Invite 4th artist to shop team
  6. New artist can now access system


Cost example:

  • Base plan: Shop Free ($0/month) or Studio Pro ($79/month) - includes 3 artists
  • Extra artist seat: +$25/month
  • New total with Studio Pro: $104/month
  • Each additional artist beyond 4th: +$25/month


Scenario 2: Growing to a 6-Artist Shop


Situation: Expanding from 3 to 6 artists


Steps:

  1. Navigate to Billing & Subscription settings
  2. Find "Extra Artist Seats" section
  3. Add 3 extra seats ($25 × 3 = $75/month)
  4. Confirm total prorated charge
  5. Invite all 3 new artists
  6. Monitor team capacity


Cost example (Studio Pro):

  • Base plan: $79/month (includes 3 artists)
  • Extra seats (×3): +$75/month
  • New total: $154/month


Scenario 3: Annual Billing for Extra Seats


Situation: Shop on yearly billing wants to add artists


Steps:

  1. Navigate to Billing & Subscription settings
  2. System detects yearly billing cycle
  3. Extra seat price shown as $250/year per artist
  4. Add seats and confirm yearly charge
  5. Billing aligns with annual renewal


Cost example (Studio Pro, yearly):

  • Base plan: $799/year (includes 3 artists)
  • Extra seat (×1): +$250/year
  • New total: $1,049/year

How Add-on Billing Works


Billing cycle:

  • Add-ons billed on same schedule as base subscription
  • Monthly or yearly, matching your plan
  • Prorated on first purchase if mid-cycle


Payment method:

  • Uses same payment method as base subscription
  • Update payment method: Settings > Billing > Payment Method


Invoice breakdown:

  • Base subscription listed first
  • Extra artist seats listed separately (with quantity)
  • Subtotal shows sum of all charges
  • Tax calculated on total (if applicable)


Example invoice (Studio Pro with 2 extra artists):

Proration Explained


When you add mid-cycle:

  • Charged partial month for remainder of billing period
  • Next bill includes full month cost


Proration formula:

Prorated charge = (Add-on monthly cost) × (Days remaining / Days in month)


Example:

  • Monthly cost: $25 per seat
  • Added on 20th of 30-day month
  • Days remaining: 10
  • Prorated charge: $25 × (10/30) = $8.33


When you remove mid-cycle:

  • No refund for current period
  • Add-on remains active until period ends
  • Not charged on next renewal



Tips


  • Review team needs before adding: Check if you actually need extra capacity or if current artists can handle workload
  • Consider yearly billing: Save ~17% on extra artist seats with annual billing ($250/year vs $300/year equivalent)
  • Monitor usage after adding: Ensure new artists are actively using the platform
  • Time purchases strategically: Add on renewal day to avoid proration complexity
  • Remove unused seats: If an artist leaves, remove their seat to stop billing
  • Budget for growth: Factor extra artist costs into shop financial planning



Common Issues


  • Issue: Can't invite more artists - "seat limit reached"

Solution: You've used all included and purchased seats. Add more extra artist seats in Billing & Subscription settings before inviting new artists.


  • Issue: Proration charge is higher than expected

Solution: Proration is based on remaining days in billing cycle. If you add near start of cycle, charge is nearly full monthly cost. Consider waiting until near end of cycle to reduce prorated charge.


  • Issue: Can't remove extra seat - "seat in use"

Solution: You must first remove the artist from your shop before removing their seat. Go to Team Management, deactivate or remove the artist, then return to remove the extra seat.


  • Issue: Payment failed when adding seats

Solution: Check that payment method on file is valid and has sufficient funds. Update payment method in Settings > Billing > Payment Method, then retry purchase.


  • Issue: Artist can't access shop after seat purchase

Solution: Make sure you've sent the invitation after purchasing the seat. Go to Team Management and send an invitation to the artist's email address.
