Benefits of limiting availability:

Example: You upload a rose flash design with inventory of 3. Once three clients book it, the design becomes unavailable to prevent over-tattooing.
Step-by-Step Flash Upload Guide
Step 1: Prepare Your Flash Design
Design Requirements:
- High-quality digital image (JPG or PNG)
- Clear, clean lines - easily readable
- Appropriate size - minimum 1200px wide
- Good contrast - visible details
- Professional presentation - no background clutter
Design Tips:
- Photograph or scan drawn flash with good lighting
- Use vector art for digital designs
- Show the design on a clean background
- Include size reference if possible
Step 2: Access Flash Gallery
- Log into your Apprentice dashboard
- Navigate to "Flash Gallery" or "Flash Designs"
- Click "Add Flash Design" or "Upload Flash"
Step 3: Upload Design Image
- Click "Choose File" or drag and drop
- Select your flash design image
- Wait for upload to complete
- Image preview will appear

Step 4: Add Design Details
Design Name
Give your flash a memorable name:

Add helpful context:

Step 5: Set Inventory
This is where you control availability:
Inventory Count
Enter the maximum number of times you'll tattoo this design:

- 3-5 - Limited edition (most common)
- 10+ - More availability, less exclusive
- Unlimited - No booking limit (not recommended)
Recommended Settings:
- Premium designs: 1-3 pieces
- Standard flash: 3-5 pieces
- Simple/small designs: 5-10 pieces
How Inventory Works
- Each time a client books the flash, inventory decreases by 1
- When inventory reaches 0, the design shows as "Sold Out"
- Sold out designs remain visible but can't be booked
- You can increase inventory later if desired
Example Timeline:
- Upload snake flash with inventory of 3
- Client A books it → Inventory: 2 remaining
- Client B books it → Inventory: 1 remaining
- Client C books it → Inventory: 0 (Sold Out)
- Design stays in gallery but shows as unavailable
Step 6: Set Pricing (Optional)
You can set special pricing for flash designs:
Fixed Flash Price
Enter a specific price for this design:
- Overrides your standard hourly rate
- Clients see the fixed price
- Typically lower than custom work
Example: $150 for a flash piece that would normally be $200 custom

- Speed: Faster to tattoo pre-drawn work
- Efficiency: No design consultation time needed
- Inventory: Incentive for clients to book flash
- Volume: More bookings at lower price = similar revenue

Step 7: Set Availability Dates (Optional)
Make flash available for limited time periods:
Start Date
When the flash becomes available for booking:
- Use for scheduled flash drops
- Create anticipation with announced launch dates
- Coordinate with marketing campaigns
End Date
When the flash becomes unavailable:
- Use for holiday flash (Halloween, Friday 13th)
- Create urgency with limited-time offers
- Run seasonal promotions
Example: Halloween flash available October 1-31 only
Step 8: Review and Publish
- Preview the design - See how clients will view it
- Double-check details - Name, description, inventory
- Verify pricing - If you set special pricing
- Confirm inventory - Make sure it's correct
- Click "Publish" or "Save"
The flash is now live and bookable by clients!
Managing Your Flash Gallery
Viewing Your Flash Library
Access your flash gallery:
- Go to Flash Designs or Flash Gallery
- See all designs with current inventory status
- Filter by: Available, Sold Out, All
Information displayed:
- Design image thumbnail
- Design name
- Remaining inventory (e.g., "2 of 5 left")
- Bookings (how many times it's been tattooed)
- Status (Available or Sold Out)
Editing Flash Designs
To modify an existing flash:
- Click on the flash design
- Select "Edit"
- Update any details:
- Description
- Pricing
- Inventory count
- Availability dates
- Click "Save Changes"
Note: You can't change the image itself once uploaded. Delete and re-upload if you need a new image.
Increasing Inventory
If a design sells out but you want to make it available again:
- Open the sold-out design
- Click "Edit"
- Increase the inventory count
- Click "Save"
The design becomes bookable again immediately.
Use cases:
- Popular design you want to tattoo more times
- Changed your mind about exclusivity
- Client demand is high
Decreasing Inventory
If you want to limit availability further:
- Open the design
- Click "Edit"
- Decrease the inventory count
- Click "Save"
Important: You can't set inventory below the number already booked. If 3 clients have booked, minimum inventory is 3.
Archiving Flash
To remove flash from public view:
- Open the design
- Click "Archive" or "Remove from Gallery"
- Confirm
Archived flash:
- No longer visible to clients
- Preserves your records
- Can be restored later
- Doesn't delete booking history
Deleting Flash
To permanently remove:
- Open the design
- Click "Delete"
- Confirm permanent deletion
Warning: Deleting removes all records. Archive instead if you might want it back.
