Design custom consent forms and legal documents that clients complete before their appointments.

As an artist, you can create personalized consent templates that reflect your specific requirements, policies, and style. These templates are sent to clients as part of the pre-appointment preparation process. Clients complete and sign them electronically before arriving, saving time and ensuring you have all necessary documentation.

Getting Started


Navigate to Template Settings


  1. Go to your Artist Dashboard
  2. Click Settings in the navigation
  3. Select Client Preparation
  4. Click Manage Consent Templates

Creating a New Template


Step 1: Basic Information


  1. Click Create New Template
  2. Select a template type
  3. Enter a Template Name (internal reference, e.g., "Standard Consent 2026")
  4. Enter a Display Title (what clients see, e.g., "Tattoo Service Agreement")
  5. Add a brief Description (optional)


Step 2: Write Your Content


Use the markdown editor to write your template content. You can include:


Static Text:


  • Legal disclaimers and terms
  • Instructions and explanations
  • Your policies and expectations


Dynamic Variables:

Variables automatically fill in with real data:

Activating Your Template


Step 3: Save and Enable


  1. Click Save Template
  2. Toggle Active to make it available
  3. Choose when this template is used:
  • All Appointments - Every client sees this
  • New Clients Only - First-time clients only
  • Manual Selection - You choose per appointment


Step 4: Set Display Order


If you have multiple templates, set the order clients will complete them:


  1. Drag templates to reorder
  2. Or set a number (1 = first, 2 = second, etc.)
  3. Clients complete templates in sequence



Managing Templates


Editing Templates


  1. Go to Manage Consent Templates
  2. Click Edit on any template
  3. Make your changes
  4. Click Save


Note: Changes affect future prep requests only. Already-signed forms remain unchanged.


Duplicating Templates


  1. Click the menu on any template
  2. Select Duplicate
  3. Modify the copy as needed
  4. Save with a new name


Great for creating variations (e.g., "Standard Consent" vs. "Minor Consent").


Deactivating Templates


  1. Toggle Active off
  2. Template won't be sent to new clients
  3. Previously signed forms remain valid
  4. Re-activate anytime


Deleting Templates


  1. Click the menu
  2. Select Delete
  3. Confirm deletion


Warning: This is permanent. Previously signed forms are preserved, but the template cannot be recovered.



Tips


  • Keep it simple: Clients complete forms on phones—use short paragraphs and clear questions
  • Use interactive fields: [yes/no] questions are easier to answer than writing text
  • Add initials for key items: Ensures clients acknowledge each important point
  • Test your template: Preview it and complete it yourself before using with clients
  • Review with an attorney: Have legal documents reviewed to ensure they meet your jurisdiction's requirements
  • Version your templates: Include dates or version numbers in template names
  • Be honest about risks: Clear communication protects both you and your clients



Common Issues


Issue: Clients say the form is too long


Solution: Break into multiple shorter templates, or use interactive fields instead of long text sections.


Issue: Field IDs aren't working


Solution: Check syntax—IDs must be inside parentheses with no spaces: `yes/no not `[yes/no] (health.pregnant).


Issue: Variables show as {{client_name}} instead of the actual name


Solution: Variables only fill in when clients view the form. Use Preview mode to see how it looks with sample data.


Issue: Clients can't sign on their device


Solution: The signature pad works best on touchscreens. Suggest using a phone or tablet, or signing more slowly with a mouse.



Shop Artists vs. Independent Artists


If you're part of a shop:


  • The shop may have required templates that all clients must complete
  • You can add your own templates in addition to shop templates
  • Your templates appear after shop templates


If you're independent:


  • You have full control over all templates
  • Consider including all necessary legal protections
  • You're responsible for compliance with local regulations
