Connecting Apprentice to Zapier

Automate your workflows by connecting Apprentice to thousands of apps through Zapier.



Overview


Apprentice integrates with Zapier, letting you connect your tattoo business to over 6,000 apps. You can automate repetitive tasks like sending follow-up emails after appointments, adding new clients to your email list, syncing bookings with project management tools, or posting to social media when you upload new flash designs.


The connection works through API keys that you create in Apprentice and use in Zapier to authenticate your account.



What You Can Automate


Here are some popular workflows artists set up with Zapier:


Client management:

  • Add new Apprentice clients to your Mailchimp or ConvertKit email list
  • Create a Trello card or Notion page when a new booking comes in
  • Send a welcome SMS via Twilio when a client creates an account


Appointments:

  • Add confirmed appointments to a Google Sheet for record-keeping
  • Send a Slack notification when a new booking is confirmed
  • Create a calendar event in Outlook when an appointment is scheduled


Payments:

  • Log completed payments to a QuickBooks or Wave accounting system
  • Send a thank-you email via Gmail after a deposit is received
  • Update a Google Sheet with payment records


Marketing:

  • Post to Instagram or Twitter when you publish new flash designs
  • Send an email campaign when you launch a flash sale
  • Notify your Discord or Slack community about new portfolio uploads



How to Set Up Zapier


Step 1: Get Your API Key from Apprentice


  1. Click Settings in the sidebar
  2. Under Run Operations, click Integrations
  3. Find the Zapier Integration section
  4. Click Manage API Keys
  5. Click Create New Key
  6. Give your key a descriptive name (e.g., "Zapier - Email automation")
  7. Copy the API key — you'll need it in the next step


Important: Keep your API key private. Anyone with this key can access your Apprentice data. If you think a key has been exposed, delete it and create a new one.


Step 2: Connect Apprentice in Zapier


  1. Go to zapier.com and log in (or create a free account)
  2. Click Create Zap (or + Create in the top nav)
  3. For the Trigger app, search for "Apprentice"
  4. Select the trigger event you want (e.g., "New Appointment", "New Client", "Payment Received")
  5. When prompted, paste your API key from Step 1
  6. Test the connection to make sure it works


Step 3: Set Up Your Action


  1. Choose the Action app (e.g., Gmail, Google Sheets, Slack, Mailchimp)
  2. Select the specific action (e.g., "Send Email", "Create Spreadsheet Row", "Send Message")
  3. Map the Apprentice data fields to the action fields
  4. Test the action to confirm it works
  5. Turn on your Zap


Step 4: Test Your Automation


Run through the trigger manually to verify everything works end-to-end. For example, if your Zap triggers on new appointments, create a test appointment in Apprentice and check that the action fires correctly.



Managing Your API Keys


Viewing Your Keys


Go to SettingsIntegrations (under Run Operations) → Manage API Keys to see all your active keys.


Creating Multiple Keys


You can create separate keys for different Zapier workflows. This makes it easy to revoke access to one automation without breaking the others. Name each key descriptively (e.g., "Zapier - Client emails", "Zapier - Payment logging").


Deleting a Key


If you no longer need an automation or suspect a key has been compromised:


  1. Go to SettingsIntegrationsManage API Keys
  2. Find the key you want to remove
  3. Click Delete next to the key
  4. Any Zaps using that key will stop working immediately



Tips


  • Start with one simple Zap to get comfortable before building complex workflows
  • Name your API keys descriptively so you know which Zap uses which key
  • Test every Zap before relying on it — create a test booking or client to verify the trigger fires
  • Use Zapier's built-in filters to avoid triggering on test data
  • Check your Zap history in Zapier regularly to catch any failures



Common Issues


  • Zap isn't triggering — Make sure your API key is correct and hasn't been deleted. Check that the trigger event matches what you're doing in Apprentice (e.g., "New Appointment" won't fire for walk-ins if those aren't tracked as appointments).


  • Wrong data coming through — Check your field mappings in Zapier. Apprentice field names may differ from what you expect. Use Zapier's "Test" step to preview the data before going live.


  • API key not working — Copy the key again from Apprentice — make sure there are no extra spaces. If it still fails, delete the key and create a new one.


  • Zap stopped working suddenly — Check if someone deleted the API key in Apprentice. Also check Zapier's task history for error messages. The Apprentice API may have been temporarily unavailable.


  • I need to change which data gets sent — Edit your Zap in Zapier and update the field mappings. You don't need to create a new API key for this.



Zapier Plan Considerations


Zapier offers a free plan with limited Zaps and tasks per month. If you need more automations or faster trigger times, you may need a paid Zapier plan. This is separate from your Apprentice subscription.
