Managing the Shop Flash Gallery

Curate and manage a shop-wide flash design gallery that showcases available designs from all your artists.



Overview


The shop flash gallery is a centralized collection of flash designs from all artists in your shop. It appears on your public shop page, allowing potential clients to browse available designs and book them directly. As a shop owner, you control which designs are featured, how they're organized, and whether they display pricing and availability information.


Step-by-Step Guide



  1. Go to your shop dashboard
  2. Click Content in the main navigation
  3. Select Flash Gallery
  4. You'll see all flash designs from your artists in one view


Step 2: Review Submitted Flash Designs


Your gallery displays flash designs uploaded by individual artists. Each design shows:


  • Thumbnail Image: Preview of the design
  • Artist Name: Who created it
  • Design Title: Name/description
  • Price: If the artist set flash-specific pricing
  • Availability: Available, Sold, or Reserved
  • Status: Active (visible) or Hidden


Step 3: Curate Which Designs Appear


Control which designs show on your public shop page:


Approval Workflow (if enabled):

  • New flash designs require shop admin approval before appearing publicly
  • Review pending designs in the Pending Approval tab
  • Click Approve to make visible or Reject with optional feedback


Manual Visibility Control:

  • Toggle any design from Active to Hidden
  • Hidden designs don't appear on public page but remain in artist portfolios
  • Use this to rotate seasonal designs or manage gallery size



Sorting Options:

  • Most Recent: Newest designs first (default)
  • Price: Low to High: Budget-friendly options first
  • Price: High to Low: Premium pieces first
  • By Artist: Group designs by creator
  • Custom Order: Drag and drop to manually arrange featured designs


Filtering:

  • Filter by artist
  • Filter by design style (traditional, realism, geometric, etc.)
  • Filter by body placement (arm, back, leg, etc.)
  • Filter by availability (available only, sold, reserved)


Categories:

Create custom categories to organize designs:

  • "Flash Friday Specials"
  • "Holiday Designs"
  • "Small & Simple"
  • "Black & Grey"
  • "Color Work"


Assign designs to categories manually or let artists self-categorize.


Step 5: Feature Designs


Highlight specific designs at the top of your gallery:


  1. Select up to 6 designs to feature
  2. Click Feature Design
  3. Featured designs appear in a carousel at the top of the public page
  4. Rotate featured designs weekly to keep content fresh



Public Page Display:

  • Grid Layout: 2, 3, or 4 columns (responsive to screen size)
  • Show Pricing: Display prices publicly or "Contact for Price"
  • Show Artist Names: Helpful for multi-artist shops
  • Show Availability Status: "Available" badge or hide sold items entirely
  • Enable Quick Booking: "Book This Design" button on each design


Gallery Behavior:

  • Auto-hide sold designs: Remove from gallery when marked sold
  • Reservation timer: How long designs stay "Reserved" before returning to available
  • Restock notifications: Alert waitlisted clients when designs become available again


Step 7: Set Shop Flash Pricing Policies


Define shop-wide policies for flash pricing:


Pricing Rules:

  • Require flash pricing: Artists must set prices for flash designs
  • Price ranges: Establish min/max acceptable flash prices
  • Shop markup: Add percentage to artist prices for shop overhead
  • Deposit requirements: Percentage of flash price required to book


Special Promotions:

  • Flash Day Discounts: Shop-wide percentage off on specific dates
  • First-time client specials: Discounted rates for new clients booking flash
  • Bundle deals: Discounts for booking multiple small flash pieces


Step 8: Manage Inventory Tracking


Flash designs have limited availability:


Single Edition:

  • Design can only be tattooed once
  • Automatically marked "Sold" after completion
  • Removed from gallery or displayed as "Sold Out"


Limited Edition:

  • Design can be tattooed X times
  • Counter decreases with each booking
  • Shows "Only 3 left!" messaging


Unlimited:

  • Design can be repeated indefinitely
  • Always shows as "Available"


Configure default inventory settings for your shop.



View analytics to understand what's working:


Metrics Available:

  • Most Viewed Designs: Which get the most clicks
  • Booking Conversion Rate: Views to bookings ratio
  • Artist Performance: Which artists' flash generates the most bookings
  • Category Popularity: Which design categories are most popular
  • Average Time to Booking: How quickly designs get booked after posting


Use insights to:

  • Encourage artists to create similar popular styles
  • Adjust pricing for underperforming designs
  • Feature high-converting designs more prominently


Step 10: Publish and Promote


  1. Click Save Changes to update gallery settings
  2. Changes appear on your public shop page immediately
  3. Promote your flash gallery:
  • Share direct gallery link on Instagram Stories
  • Post new flash additions weekly
  • Run "Flash Friday" promotions
  • Email subscribers when new designs are added


Tips


  • Refresh regularly: Update featured designs at least weekly to give clients a reason to check back
  • Quality over quantity: A curated gallery of 20 great designs is better than 100 mediocre ones
  • High-quality photos: Require artists to submit clear, well-lit photos of designs
  • Seasonal rotation: Hide off-season designs (hide Halloween designs in January)
  • Clear categorization: Well-organized categories make browsing easier for clients
  • Mobile-friendly images: Ensure thumbnails are clear even on small screens
  • Communicate with artists: Let them know if you hide their designs and why
  • Promote best performers: Feature artists whose flash consistently books well


Common Issues


  • Issue: Too many similar designs flooding the gallery → Solution: Set submission limits per artist per month, or create stricter approval criteria to maintain variety.


  • Issue: Artists upset their designs were rejected or hidden → Solution: Provide clear gallery guidelines and constructive feedback. Focus on quality, diversity, and brand fit rather than personal preference.


  • Issue: Clients booking sold designs → Solution: Enable auto-hide for sold designs or update availability status more frequently. Artists should mark designs as sold immediately after completion.


  • Issue: Gallery looks cluttered and unprofessional → Solution: Limit visible designs to 30-50 at a time, require minimum image quality standards, and use consistent photo backgrounds/lighting.


  • Issue: Flash designs getting booked but not completed → Solution: Set up automated reminders for artists to update design status. Track overdue reservations in your analytics.


  • Issue: No analytics showing for gallery performance → Solution: Ensure public page analytics are enabled in settings. Data collection requires at least 7 days of activity to generate meaningful insights.
